Your privacy matters to us. This Policy explains what data we collect, why we collect it, how we use it, and what controls you have. We do not sell your personal information.

Haize ("Haize," "we," "us," or "our") is a SaaS platform based in the United States. This Privacy Policy applies to all information collected through our website, web application, NFC products, and related services (the "Services"). By using the Services, you agree to the collection and use of information as described in this Policy.

1. Information We Collect

Information you provide directly

  • Account information — name, email address, password, and profile details when you register
  • Profile & storefront content — links, text, images, products, services, and any other content you publish on your Haize profile
  • Contact & CRM data — contact information you manually add or import into your CRM
  • Payment information — billing details for subscription payments, processed by Stripe (we do not store full card numbers)
  • AI knowledge base content — FAQ entries and knowledge base material you provide to train your Customer Service AI agent
  • Communications — messages you send us via email or support channels

Information collected automatically

  • Usage & interaction data — profile views, link clicks, NFC taps, form submissions, email opens and clicks, booking events, and purchase activity
  • Device & technical data — IP address, browser type, device type, operating system, referring URLs, and general usage patterns
  • NFC device data — per-device tap events including which card or sticker was used, timestamp, and action taken
  • Email engagement data — open rates, click rates, unsubscribe events, and bounce data for emails sent through Haize
  • Cookies & similar technologies — we use cookies and similar tracking technologies to maintain sessions, remember preferences, and analyze platform usage

Information from third parties

  • Payment processors — Stripe provides us with transaction confirmations and limited billing details
  • Email integrations — if you connect Mailchimp or ConvertKit, we receive data necessary to sync contacts and manage campaigns
  • Leads generated through your profile — contact information submitted by visitors through your forms or NFC tap-to-subscribe flows

2. How We Use Your Information

We use the information we collect to:

  • Create and maintain your account and profile
  • Provide, operate, and improve the Services
  • Process payments and manage subscriptions through Stripe
  • Enable email campaign sending, automation flows, and delivery tracking
  • Power AI features including the Customer Service AI agent
  • Track NFC tap events and provide device-level analytics
  • Generate analytics dashboards — profile views, conversion rates, revenue attribution
  • Send transactional communications — account updates, receipts, security alerts
  • Send product updates and announcements (you can opt out at any time)
  • Detect, prevent, and respond to fraud, abuse, and security incidents
  • Comply with legal obligations

3. Email Sending & CAN-SPAM Compliance

When you use Haize to send email campaigns or automated flows to your contacts, you are the sender of record. You are responsible for ensuring your contact list is permission-based and that your emails comply with applicable law.

Haize automatically includes an unsubscribe mechanism in all emails sent through the platform. We process unsubscribe requests on your behalf and suppress opted-out contacts from future sends.

We monitor email sending activity across the platform to protect deliverability and may suspend sending privileges for accounts generating high complaint or bounce rates.

4. AI Features & Data

Haize's AI-powered features — including the Customer Service AI agent — process content from your knowledge base and visitor interactions to generate responses on your behalf.

  • Content you provide to train your AI agent is stored securely and used only to power your agent's responses
  • Visitor conversation data is stored in your Conversations inbox and used to generate AI activity insights
  • We may use aggregated, de-identified interaction data across the platform to improve AI model performance — this data cannot be traced back to individual users or their contacts
  • We do not use your specific knowledge base content to train shared AI models without your consent

5. Public Profiles & NFC

Haize profiles are designed to be shared. When someone accesses your profile via link, QR code, or NFC tap, the content you have made publicly available on your profile will be visible to them. You are responsible for the information you choose to display.

NFC tap events — including the device used, timestamp, and action taken — are logged and made available to you in your analytics dashboard. This data is attributed to your account and is not shared with third parties.

6. Sharing of Information

We do not sell your personal information.

We may share information in the following limited circumstances:

  • Service providers — trusted vendors who help us operate the platform (hosting, infrastructure, analytics, payment processing, email delivery). These providers access only the data necessary to perform their services and are contractually bound to protect it
  • Stripe — payment data is shared with Stripe to process transactions. Stripe's use of your data is governed by Stripe's Privacy Policy
  • Email integration partners — if you connect Mailchimp or ConvertKit, contact data is shared with those services per your instructions
  • Legal requirements — we may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Haize, our users, or the public
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy

7. Cookies & Tracking

We use cookies and similar technologies to:

  • Maintain your logged-in session
  • Remember your preferences
  • Analyze how the platform is used
  • Track profile views and link click events on behalf of our users

You can control cookies through your browser settings. Disabling cookies may affect certain features of the Services.

8. Data Retention

We retain your information for as long as your account is active or as needed to provide the Services:

  • Account data — retained for the life of your account and deleted within 90 days of account closure upon request
  • Analytics & interaction data — retained for up to 24 months for trend analysis and reporting
  • Email sending logs — retained for up to 12 months to support deliverability troubleshooting and compliance
  • Payment records — retained for up to 7 years as required by financial regulations
  • AI conversation logs — retained as long as your account is active; you may delete individual conversations at any time from your inbox

9. Data Security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, or disclosure. These include encrypted data transmission (TLS), access controls, and regular security reviews.

However, no system is completely secure. We cannot guarantee absolute security and encourage you to use strong, unique passwords and keep your account credentials confidential.

In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

10. Your Rights & Choices

Access & correction
You can access and update your account information at any time through your account settings.

Data deletion
You may request deletion of your account and associated personal data by contacting us at support@joinhaize.com. We will process deletion requests within 30 days, subject to legal retention requirements.

Email preferences
You can opt out of marketing and product update emails at any time using the unsubscribe link in any email or by updating your notification preferences in account settings. Transactional emails (receipts, security alerts) cannot be opted out of while your account is active.

Cookies
You can manage cookie preferences through your browser settings at any time.

AI agent data
You can update, modify, or delete your AI knowledge base content at any time through the Customer Service settings in your account.

11. Children's Privacy

Haize is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a prominent notice within the platform at least 14 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Services after changes take effect constitutes your acceptance of the revised Policy.
